This Privacy Policy explains how Easy AI ("Easy AI", "we", "us", or "our") collects, uses, stores, and discloses information when customers and end users use our websites, applications, AI assistants, customer-support tools, and appointment-scheduling features (the "Services").
Sections 1–7 apply only to Service Data and do not apply to Google User Data. Google User Data is governed exclusively by Section 8.
1. Scope and definitions
- Service Data means account, contact, billing, conversation, usage, device, and technical information collected directly through the Services, excluding Google User Data.
- Customer Data means messages, files, contact details, and other content that a customer or its end users submit to the Services. Customer Data is a type of Service Data.
- Google User Data means information received from Google API Services, including Google Account and Google Calendar data. Google User Data is not Service Data and is handled only as described in Section 8.
Customers are responsible for providing appropriate notices and obtaining permissions required for Customer Data submitted to Easy AI. Where Easy AI processes Customer Data on a customer's behalf, the customer determines the purposes of that processing and Easy AI acts as its service provider or processor.
2. Service Data we collect
- Account and contact data: name, business name, email address, phone number, account role, authentication details, and workspace settings.
- Billing data: subscription, invoice, and transaction information. Full payment-card details are processed by our payment providers and are not stored by Easy AI.
- Customer Data: conversations, support requests, contact information, files, and instructions submitted through the Services.
- Usage and technical data: IP address, device and browser information, timestamps, feature interactions, diagnostic logs, and security events.
- Cookie data: information collected through necessary, preference, and analytics cookies as permitted by applicable law and the choices available on our websites.
The information in this Section is Service Data. It does not include Google User Data.
3. How we use Service Data
We use Service Data to:
- provide, configure, maintain, and support the Services;
- authenticate users, manage workspaces, process subscriptions, and administer accounts;
- deliver customer conversations, AI-assisted workflows, support, and other features requested by customers;
- protect the Services, prevent fraud and abuse, troubleshoot errors, and enforce our terms;
- measure performance and usage, diagnose problems, and improve the reliability and functionality of the Services;
- send transactional notices, security alerts, and service communications;
- respond to inquiries and, where permitted by law, send information about Easy AI products to business contacts, with available opt-out choices; and
- comply with law and protect the rights, safety, and property of Easy AI, our customers, and others.
These purposes apply only to Service Data. We do not use Google User Data for marketing, advertising, analytics unrelated to appointment scheduling, or any other purpose listed above. Google User Data is used only for the user-facing functionality described in Section 8.2.
4. How we disclose Service Data
We do not sell Service Data. We may disclose Service Data only as reasonably necessary to:
- vendors that provide hosting, infrastructure, communications, payment processing, customer support, security, analytics, or customer-relationship tools under contractual confidentiality and data-protection obligations;
- customer workspace administrators and authorized users according to their permissions;
- professional advisers, regulators, courts, or authorities when required by law or necessary to protect legal rights and safety; or
- a successor in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.
This Section applies only to Service Data. Any disclosure of Google User Data is governed exclusively by Section 8.4.
5. Security
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction. These measures include access controls, encryption in transit, encryption of sensitive credentials at rest, logging, monitoring, and restricted production access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Retention and deletion of Service Data
We retain Service Data while an account is active and for as long as reasonably necessary to provide the Services, meet contractual obligations, resolve disputes, enforce agreements, maintain security, and comply with law. Retention periods vary according to the type of data and purpose of processing. Customers may delete supported records through the Services or request account deletion by contacting us. We may retain limited information where required by law or in secure backups until normal backup cycles expire.
This Section applies only to Service Data. Retention and deletion of Google User Data are described in Section 8.5.
7. Your rights, international transfers, and other information
7.1 Privacy rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of personal information, or to request data portability. You may also withdraw consent where processing is based on consent. To exercise a right, contact us using Section 10. We may need to verify your identity and may refer requests concerning Customer Data to the relevant customer.
7.2 International transfers
Easy AI and its service providers may process information in countries other than the country where it was collected. Where required, we use appropriate safeguards for international transfers.
7.3 Children
The Services are intended for businesses and are not directed to children under 13 or the minimum age required by applicable law. We do not knowingly collect personal information from children without appropriate authorization.
8. Google User Data and Google Calendar
This Section exclusively governs all data Easy AI receives from Google API Services. If another part of this Policy conflicts with this Section, this Section controls for Google User Data.
8.1 Google User Data we access
When a workspace administrator chooses to connect Google Calendar, Easy AI may access:
- the connected user's name, email address, and basic Google Account profile information to identify the connected account;
- calendar-list names, identifiers, and access metadata so the administrator can select a calendar;
- free/busy information for the user-selected calendar to check appointment availability;
- event information in the user-selected calendar only as needed to create, reschedule, cancel, and synchronize appointments managed through Easy AI; and
- OAuth access and refresh tokens, the selected calendar identifier, webhook information, and synchronization metadata needed to maintain the connection.
8.2 Exclusive permitted uses
Easy AI uses Google User Data solely to provide appointment-scheduling features requested by the connected workspace administrator:
- connect and identify the administrator's Google Account;
- display available calendars for selection;
- check free/busy availability and prevent scheduling conflicts;
- create, reschedule, and cancel appointment events in the selected calendar; and
- synchronize changes for Easy AI appointments specifically correlated with events in the selected calendar.
Easy AI does not continue accessing Google Calendar after the administrator disconnects the integration or access is revoked.
8.3 Uses we prohibit
Easy AI does not sell Google User Data. Easy AI does not use Google User Data for advertising, marketing, promotions, cross-selling, lead generation, CRM enrichment, profiling, unrelated analytics, credit or lending decisions, surveillance, or any purpose unrelated to the appointment-scheduling functionality in Section 8.2.
Easy AI does not use Google User Data to develop, train, retrain, test, or improve any generalized, personalized, or other artificial-intelligence or machine-learning model. These restrictions apply to raw, aggregated, anonymized, pseudonymized, and derived Google User Data.
8.4 Disclosure and human access
Easy AI discloses Google User Data only to contracted infrastructure providers or subprocessors to the limited extent necessary to operate, secure, and support appointment scheduling. Such providers must protect the data, act only on Easy AI's instructions, and may not use it for their own purposes.
Humans do not read Google User Data except when the user gives affirmative permission for specific support, when access is necessary to investigate abuse or a security incident, or when required by applicable law. Easy AI does not transfer Google User Data to data brokers, advertising platforms, or other third parties for independent use.
8.5 Storage, retention, and deletion
OAuth tokens are encrypted at rest. Easy AI stores the selected calendar identifier, webhook details, and synchronization metadata only while the Google Calendar connection is active and as needed to provide the functionality in Section 8.2.
When an administrator disconnects Google Calendar, Easy AI stops calendar access, revokes the OAuth authorization where supported, and deletes stored Google OAuth credentials, calendar-connection configuration, webhook details, and synchronization metadata. Appointment records created through Easy AI and specifically correlated with Google Calendar remain part of the customer's Easy AI booking history until the customer deletes them, closes the account, or retention is required by law. Easy AI does not access Google Calendar to update those records after disconnection.
8.6 User control
A workspace administrator may disconnect Google Calendar in Easy AI at any time. A user may also revoke Easy AI's access from Google Account connections. Revocation stops future Google API access.
8.7 Google API Services User Data Policy
Easy AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
9. Changes to this Policy
We may update this Policy to reflect changes to the Services, law, or our privacy practices. We will post the updated version and revise the "Last updated" date. Where required, we will provide additional notice.
