This Privacy Policy, along with the Terms of Service, constitutes a legal agreement between Flame Media Joint Stock Company (referred to as "Company," "FM," or "we") and any individual or organization (referred to as "Customer" or "User") who registers for or uses the services we provide.
We are committed to protecting the personal information of our Customers and being transparent about how we collect and process data. Easy AI Chat is developed and copyrighted by FM (referred to as "Service," "Easy AI," "Software Platform," or "Platform"). FM and the Customer are collectively referred to as "both parties" or "the parties," and individually as "a party."
Scope of Information Collection
- Personal information collected includes: (i) identification information such as Full Name, Email; (ii) account information such as Username, Encrypted Password (if applicable); (iii) payment information such as Service Payment History.
- Usage data includes: (i) chat and interaction history with the chatbot; (ii) service usage time and frequency; (iii) features and functions used.
- Device information includes: (i) device type and operating system; (ii) IP address and approximate geolocation data; (iii) browser information.
- For other specific collection purposes, Easy AI may, from time to time, request users to provide additional information to ensure the user's own use or to ensure smooth and convenient communication between Easy AI and the user.
- Regarding the scope of information collection mentioned in this Policy, users have the option to provide or refuse to provide Information to Easy AI.

Scope of Information Use
We use the collected information for the following purposes: (i) providing, maintaining, and improving the AI chatbot Service; (ii) authenticating users and securing accounts; (iii) processing transactions and payments; (iv) analyzing usage trends and optimizing performance; (v) sending service notifications, updates, and related information; (vi) providing customer support and care; (vii) preventing fraud, abuse, and illegal activities or complying with legal obligations under applicable laws.
Information Sharing
3.1. Easy AI commits to not selling Customers' personal information to any other individuals/organizations. However, in the course of business, we will/may need to use, process, disclose, and/or transfer Customers' personal data to our service providers, agents, and/or affiliates or related companies, and/or other third parties, which may be in Vietnam or outside Vietnam, for one or more of the purposes mentioned above, and this disclosure will be carried out in accordance with the procedures and regulations of applicable laws. This sharing is solely for the purpose of providing the Service and will comply with applicable laws on personal data protection.
- Third-party transactions: Easy AI provides Customers with Services provided by Third Parties for use on or through our Service. Customers can know when a Third Party is involved in transactions and when we will share information related to those transactions with the Third Party.
- Third-party service providers: We use and/or collaborate with other individuals/organizations to perform certain tasks and programs such as promotions, cross-selling, etc., for Customers. For example: sending communications, processing payments, analyzing data, providing marketing and sales support (including advertising and event management), customer relationship management. These Third-party service providers have access to the personal information necessary to perform their functions, but may not use it for other purposes. In addition, they must comply with this Privacy Policy and relevant privacy protection laws.
3.2. Easy AI is not responsible for how Customers use the Service and Customer Data. We do not access, view, disclose, or monitor any data or content, or use of the Service ("Access") stored in Customer Accounts, including personal or proprietary information ("Customer Data"), except as permitted by the Agreement, including the following temporary Access cases: (i) to perform specific Account activities or as requested by the Customer when using support services; (ii) to maintain the operational functionality of the Service, including but not limited to performing maintenance, backups, technical issues, or troubleshooting; (iii) when required by law or to respond to legitimate legal requests such as court orders, other judicial or administrative processes.
Data Security
Easy AI applies reasonable security measures to protect Customer information, including: (i) data encryption during transmission and storage; (ii) access control; (iii) regular security monitoring and evaluation.
However, we cannot guarantee absolute security for data uploaded to the website or mobile application. When using the Service, Customers should be aware of the potential risks associated with sharing information online, such as information leakage, misuse, or unauthorized data modification. However, as soon as we receive Customer information, we apply the most professional and advanced security measures to prevent and minimize these risks.
Information Retention Period
Customer information is crucial input data for Easy AI to provide and manage Service usage rights, so customer information will be stored throughout our operational period.
User Rights
Customers have the right to modify data in their Accounts, including: (i) the right to access personal information; (ii) the right to request correction or update of inaccurate information; (iii) the right to request deletion of information or deactivation of accounts; (iv) the right to restrict or object to the processing of information; (v) the right to withdraw consent.

International Data Storage and Transfer
We store and process data in secure data centers globally. When transferring data across borders, we apply appropriate safeguards.
Policy Changes
Easy AI reserves the right to update this policy to reflect changes in operations or adjustments to applicable laws without notice to any party. We encourage Customers to regularly review the Privacy Policy to stay updated on any adjusted information.
