Lead Assignment Template: Route to One Accepted Owner

Assignment is not complete when a CRM owner field changes. The work is assigned only when an understandable rule selects one eligible person, that person accepts, and any timeout goes to a visible backup.

Estimated completion time: 30–45 minutes after territory, skill, capacity and coverage decisions are known. Copy the worksheet into a document, spreadsheet, CRM note or approved routing tool. Complete every rule in priority order, then save the reviewed version with its effective date and reviewer.

  • Define eligible records and validate the exact fields each rule needs before routing starts.
  • Order relationship and required-skill rules ahead of balancing rules unless the business owner approves another priority.
  • Name the source and refresh owner for capacity and availability.
  • Keep assignment, notification and acceptance as different audit events.
  • Specify no-match, timeout and reassignment behavior before activating rotation.

Rule order matters. A fair rotation should not override an existing accountable relationship or a required specialist. HubSpot documents assignment and rotation as distinct workflow actions; use that as a mechanism reference, not proof of availability elsewhere. Review the documentation.
